When it comes to being productive, everyone has their own methods, and luckily in modern days, some apps and websites can also help us achieve more. This is why we’re here with a Todoist review!
This app is created to encourage productivity and keep you up to date with all your tasks, so if this is an issue that you’ve been facing, this could be a solution for a more balanced life, and we are here to tell you all about it!
Here at Gradehacker we are the non-traditional #1 resource, and after years of helping students find balance and achieve their goals, we’ve come across many great productivity tools that can make a difference.
So today, we are giving you a full review to see how Todoist can help you and if it’s what you’re looking for!
Let’s start!

Todoist is a to-do list and productivity app that helps you manage and complete tasks.
It was created in 2010 by Amir Salihefendic and is part of the productivity software Doist which also integrates the messaging app Twist.
You can connect Todoist with apps like Amazon Alexa, Google Calendar, IFTTT, and Zapierfor, to mention a few, for more efficient use.
With this app, you can:
- Add quick tasks
- Set reminders
- Add subtasks
- Organize and set levels for them
- Share it with others and delegate tasks
- Get notifications
- Add tasks via email
- See your productivity progress
You can have access to Todoist from devices like:
- Desktop
- Mobile
- Browser
- Wearable watch
With their mobile app, you can access anytime you need to your list!
It’s great because it works just like the website version and is synchronized, so any changes made will automatically update one another.

Todoist Design and User Experience
Todoist design is simple, appealing, and easy to follow.
Once you enter, the first thing you’ll see is the list of tasks organized by today’s priority and deadline.
On the right, you’ll find a menu where you can access the inbox with all tasks programmed, a calendar with upcoming events, and a section of filters and labels.
If you want, you can create projects that will also appear on the menu. You can even share your projects and receive comments and notifications on new activities.
On Todoist, you also have the possibility to:
- Add sections
- Import or export from the template
- Email task to a project
- Download and add projects to your calendar outside the app
- Add extensions
Their very practical design and multiple tools available make it easy to get along with the platform and become used to it. So if you never used a productivity app before and want one that you can easily understand, this one is a great option!

Todoist Features
One of Todoist’s best characteristics is that it offers plenty of features to help your experience be even better!
First, they offer in-app features so you can customize your experience with:
- Habit Tracker
- Task Helper
- Templates
- AI Assistant
- Conversation Starters
- Google Sheets
They offer over 80 app features that you can browse and select.
To find this, you have to where your user icon is, click on it and go to the section where it says “Integrations.” There you can see the installed ones, and next, you see a browser section where you can search based on sections or just scroll down.
It’s great and well thought out that all features are always on sight and easy to find, so you always have access to what you need.
At Todoist, you’ll find many templates for multiple categories, such as:
- Goals
- Marketing and Sales
- Creative
- Personal
- Support
- Design & Product
- Boards
- Development
- Education
- Work
- Management
Their templates come with a predesign list adapted to the topic you chose.
For example, if you choose “Educator Planning,” you’ll find a listed guide on how to use the template and all possible items you could add.
In this case, some of these integrated items are:
- Resources
- Exams Dates
- Assignments and Projects Deadlines
- Grading Sessions
- Course Tasks
- Administrative Tasks
- Office Hours and Student Questions
There you can add your information and adapt it as you wish.
In our opinion, this is a great feature as it considers all your possible tasks and lets you save time on writing and creating one from zero.
And they have so many options, that you can find for all types of subjects. Just as we found one for education, you can find templates for marketing, business, work-life balance, and more!
Their templates are very well thought out and organized. They keep a simple layout so that it won’t be very visually stimulating, and you can focus on what you have to do better with no distractions!

Todoist for Teams
Todoist also offers great features for teams. It’s a great way to help coordinate better and faster with your team members.
With this additional feature, you can:
- Manage your team: View invoices and share permissions, visualize productivity, and get an overview of the work
- Collaborate: Comment, upload files, and get notifications
- Back up your work: Automatic backups, data sync, and SSL encryption
- Stay on Details: Set recurrent due dates and reminders, turn emails into task
The last feature we want to talk about is its Karma tracker of productivity.
This tool follows and awards users with points as they complete tasks, so there’s a more visual representation of your progress.
You can find this on the menu above between a plus and question icon, all next to your profile image. This will let you see how many tasks you’ve completed and the progress in each.
You can use it for your daily and weekly goals. The platform sets by default your daily goals being 5 and your weekly as 30, but you can adjust this to your own needs anytime.
Below the goals, you’ll see your streak of days or weeks in a row that you’ve achieved any of your goals. There’s also a summary where you can check for activities you already completed.
Each time you complete a task on time, you’ll get points on karma points and eventually get on new levels.
The points are divided into three categories:
- Streak: Number of consecutive days of completed tasks
- Productivity: Score based on completed tasks in the last seven days
- Achievements: Completing a great number of tasks
Here you can also compare your progress with other users and be part of the leaderboard. This is great for motivating yourself to reach goals and tracking your progress in an easier way.
Each time you reach a new level, a new mystery theme will be unlocked on your account.
For us, this is very motivating for all starters and will help you get on with your tasks without feeling overwhelmed.

Resources
If you ever feel there’s something you could be doing to enhance your experience with the app and don’t know or need personalized advice on what you can do to be more productive, you’ll definitely find it here!
The platform offers multiple resources. First, you’ll have:
You can find their resources available on the menu above, and it’s always visible, which is awesome for enhancing the user’s experience.
Their guide to getting started consists of detailed instructions and brief videos where you can get an overall idea of what the platform is about and all things you can do.
Todoist guides you on:
- How to start a project
- Add your first task
- Stay on schedule
- Splitting big tasks
- Organize tasks into sections
- Add the task to your Inbox
Plus, they show where to find your upcoming events and due dates, prioritize tasks and see your accomplishments.
While Todoist’s platform feels very intuitive, it’s nice they provide a well-explained guide where they lead you on how you can take advantage of all their great tools.
Once again, it shows they care about the user and their experience.

Next, we have the Help Center, which shares information about:
- Troubleshooting
- Billing and subscription
- Integrations
You can also access the guide from there; they inform you about updates, known issues, popular articles, and tips.
Here you’ll clearly find all the information you’d need, and all seem very well-informed and transparent.
The only downside we found is that it doesn’t give you a direct way to contact them, which isn’t great for those who experience particular problems that a blog won’t solve.
The Inspiration Hub is great, and it’s focused on motivation. They provide inspirational articles, quotes, and ideas to help you improve your productivity.
It’s also an effective way to get new ideas that can help you achieve your goals. And if you’re looking for something more in particular, they separate their articles into sections, so you can easily find what you’re looking for.
The sections are:
- Collaboration
- Focus
- Goals
- Productivity
- Remote Work
- Time Management
This resource is great if you are creative and use Todoist to be more efficient and productive.
Todoist also offers productivity methods and quizzes to help you make the most of your time.
These features are great for learning new ways to be productive, as well as testing yourself on your knowledge of productivity methods.
The methods include popular ones like:
- Getting Things Done (GTD)
- Pomodoro Technique
- Kanban
- Many more!
For each method, you can read a brief description and see how to apply it in Todoist. And if productivity is something you’re working towards getting better, we can also help you with more tips on how to make better use of your time!
The quizzes they have are also great for learning more about the different production methods and which one could be the best for you.
Each quiz is made of multiple-choice questions on the different topics of each technique. After answering the questions, you’ll have the result about why you are having problems with productivity and what method will help you best.
Through the platform, you can connect with more than 50 applications, including third-party services like:
- Slack
- Dropbox
- Zapier
The integrations offer many benefits, such as synchronizing tasks between platforms, allowing for easy collaboration and teamwork.
With these integrations, not only can you make a list of tasks, but you can also assign them to other members and manage your team’s work.
The categories for their integrations are:
- File Sharing and Content
- Time Tracking
- Voice Assistants
- Productivity
- Calendars
- Browsers
- Project Management
- Automation
- And more!
They have recently added Chrome, Outlook, and IFTTT. You can also find the most popular and best for educators and students, such as:
- The time tracker Flat Tomato
- File sharing and content Draft
- The productivity app Exists
- And many others!
Finally, they offer many other integrated apps to work from home, team communication, automate your tasks, and extensions like an AI assistant.
Todoist also offers a developer API for everyone who’s looking to create their own applications and integrations.
With this API, developers can access all of Todoist’s features, such as tasks, projects, labels, comments, and more.
This is great for those who want to build custom solutions for their business or personal use. It also allows you to customize the app to fit your needs.
And what’s great is that Todoist’s API is very user-friendly and easy to use; so you don’t need to be a professional developer to make something with it.
The APIs they offer are
- Rest: Best for their website
- Sync: Best for mobile and website applications
The SDKs’ set of tools they provide for programming are Python and JavaScript.
We’ve seen that this platform has a wide range of features and integrations that can significantly boost your productivity and help you organize better.
But how much does Todoist cost?
Well, they offer three different plans:
- Free
- Pro Plan: $4
- Business Plan: $6
Free
With the free plan, you can have:
- 5 active projects
- 5 collaborators per project
- 5 MB file uploads
- 3 filters
- 1-week activity history
This is ideal if you use it for particular projects but don’t necessarily need it for multiple aspects of your life.
Pro Plan
But if you have a loaded schedule that you need to keep up, then the Pro plan is best for you since it has features like:
- 300 active projects
- 25 collaborators per project
- 100 MB file uploads
- 150 filters
- Reminders
- Unlimited activity history
- Themes & auto backups
Business Plan
And if you need it for work or have a team where you want to get productive and get things done, the Business plan would be great since it offers:
- Everything in pro
- 500 active projects per project
- 50 collaborators per project
- Team inbox
- Team billing
- Admin & member roles

Our Verdict
So what do we think about Todoist? Is it worth it?
Well, it’s an amazing platform for productivity and organization if you are looking to get things done quickly and you’re compromised to get better at tackling tasks.
It has a lot of great features covering all your needs, going from communication to task trackers and even AI assistants. And let’s not forget that they provide multiple resources, like fully informed blogs, tips, and integrations, for you to have the best experience.
They also are associated with top businesses like Google, Outlook, and Slack to give even more features for you to choose from. Plus, their developer API makes it easy for everyone to create more integrations and custom solutions.
Templates are simple but can come in very handy if you want to save time setting the layout.
You can also access this platform from multiple devices like their mobile app and smartwatch.
All of this for free or at very low prices!
If you are using it for personal motives the free version should be more than enough, however, if you are choosing this app for professional purposes, then we would highly suggest purchasing their business plan since they have tools that will adapt better to your needs.
The only downside worth mentioning is that you can’t contact them directly, so if you have questions or an issue, your only choice is to search between blogs or try to seek through their Doist software if they have an answer.
Pros
- Provides multiple tools to get tasks done
- Multiple resources
- Variety of features
- Multiple templates for different subjects
- Productivity chart
- Resources and tools for teams
- Integrations
- API
- Free plan and low prices
Cons
- No direct way to contact them
